"How often should we have the office cleaned?" is one of the first questions on any walkthrough. The honest answer is that it depends on the room. A lobby that clients walk through all day and a file room nobody visits shouldn't be on the same schedule, and a good cleaning scope doesn't treat them that way.
Start with how many people use the space
Traffic is what makes an office dirty: people tracking in dirt, using the restrooms, eating at their desks and touching the same door handles. A small office with a handful of staff and few visitors can often be cleaned two or three nights a week. An office that is full every day, or that sees clients and customers walking in, usually needs cleaning every night it is open.
Set frequency by area, not by building
- Restrooms: every visit. This is the area people notice first when it slips.
- Lobby, reception and front counters: every visit. It's the first impression for every client.
- Break rooms and kitchens: every visit in most offices, since food and trash don't wait.
- Open office and private offices: trash and touch points every visit; full vacuuming and dusting can be less often in a small office.
- Conference rooms: after they're used, or on the nights they're booked.
- Storage and file rooms: weekly or monthly is usually plenty.
Then add the periodic work
Nightly cleaning keeps an office clean day to day. Some jobs only need doing every week, month or season, and they are the ones that get forgotten: high dusting and vents, blinds and baseboards, carpet extraction, and hard-floor care like scrub and recoat. A good scope lists those with their own frequency so they actually happen. More on the floor side in floor care vs. janitorial.
Signs your office needs more than it's getting
- Restrooms that look fine in the morning and rough by mid-afternoon.
- Trash or recycling overflowing before the next visit.
- Dust on ledges, vents and the tops of cabinets.
- Carpet traffic lanes that stay gray after vacuuming.
- Staff quietly cleaning up after themselves because nobody else does.
Write it down
Whatever schedule you choose, put it in writing: every area, every task and how often. That is how you hold a cleaning company to it, and how you compare bids fairly. Our free cleaning scope checklist walks through it room by room. Switching companies? See how to switch without a gap.
