Most buildings don't look tired because of one big problem. They look tired because of twenty small ones: a stained ceiling tile, a dented wall, a door that doesn't latch, a strip of caulk pulling away. None of them is urgent, so they sit, and tenants and visitors notice every one.
Walk it like a visitor
Once a month, walk the building the way a first-time visitor would: in the front door, through the lobby, down the main hall, into a restroom and back out. You'll see things you walk past every day. Write them down as you go, room by room.
The items that get missed
- Ceiling tiles. Stained, sagging or missing tiles are the fastest way to make a space look neglected.
- Wall damage. Chair-rail scuffs, dents from carts and nail holes from old signage.
- Caulk and sealant. Around sinks, counters, windows and base trim, where it cracks and discolors.
- Doors and hardware. Loose handles, doors that drag or don't latch, worn kick plates.
- Base cove and trim. Peeling or missing cove base along hallways and restrooms.
- Restroom accessories. Loose dispensers, grab bars and partitions.
- Touch-up paint. High-traffic corners and door frames that show wear first.
Batch it instead of chasing it
Calling someone for each small job is slow and expensive, and most handymen don't want a one-tile trip. Batch the list into a regular punch-list day, monthly or quarterly depending on the building. Everything gets fixed in one visit, and the list never gets long enough to embarrass anyone.
Use the people already in the building
If you have a cleaning crew in the building every night, they see these problems before anyone else does. When the same company handles cleaning and maintenance, the crew can flag issues as they find them and fix the small ones on the next visit. That is how we run it: the crew that cleans your building also handles the punch list.
Know when it's a different trade
A good maintenance crew handles general fixes and tells you upfront when something needs a licensed trade, rather than guessing. That honesty is worth as much as the work.
Between tenants, do it all at once
A vacancy is the best time to clear the whole list: paint, patch, clean and fix in one pass so the space shows well on day one. Our unit-turn checklist covers it room by room, and facility maintenance explains how we handle ongoing punch lists.
